Case studies

Three businesses. Three different definitions of converted.

The same engine, pointed at three different outcomes — a booked session, a registered student, and a started free trial. All three are running in production today.

Gym · Melbourne

Pride Strength & Fitness

An enquiry has to become a consultation, the consultation has to actually happen, and the person has to walk out a member. Three places to lose them.

The problem

Enquiries arrive from Facebook at night and on weekends, when nobody is at the desk. Consultations get booked and then missed — and a missed first session is almost always a lost membership, because nobody’s job is to notice.

What tickOver does

Replies to every enquiry within seconds with that person’s own booking link. Chases the ones who do not book. Confirms and reminds the ones who do. When somebody does not turn up, it waits until the session has actually started, then sends a warm note with a link to pick another time — and stops the moment they rebook.

Running in production · six automations · attendance read straight from the coach’s Google Calendar

Children’s multi-sport academy

Sport Star Academy

A parent books a trial for a child. The revenue is not the trial — it is the term registration that should follow it, across several sports and venues.

The problem

Trials are booked weeks ahead and forgotten. Registrations are chased by hand at the start of every term. Families who trialled and did not sign up quietly disappear, and nobody has time to work out who they were.

What tickOver does

Reminds the parent before the trial and rebooks them if they miss it. After a trial that went well, it asks them to register while the session is still fresh. Families who do not sign up move into a win-back sequence before the next intake instead of being lost.

Running in production · trial reminders, no-show rebooking, registration follow-up and win-back · separate flows per sport

Software · loyalty platform

Tallyr

No appointments anywhere. A lead signs up for a free trial, or they do not — and the gap between interest and signup is measured in hours.

The problem

Leads arrive from campaigns and land in a list. Somebody has to contact each one and ask them to start the trial, and that somebody has a product to build. The enthusiasm that made them enquire fades fast.

What tickOver does

Contacts every new lead automatically and asks them to start the free trial, carrying their own signup link. Follows up with the ones who said yes and have not done it. Stops the moment they sign up, so nobody who is already a user gets chased to become one.

Running in production · automated lead contact and free-trial conversion · no booking step at all

What the three have in common

None of them changed how their business works to fit the software. A gym still runs consultations, an academy still runs terms, a software company still runs trials. What changed is that the follow-up between the enquiry and the outcome stopped depending on somebody remembering.
